  • Creation of a workspace associated with your facility and the data you provide during registration

  • Use of your account data to provide, maintain, and improve our AI-powered healthcare communication services
  • Storage of your credentials and workspace settings on our secure, HIPAA-compliant infrastructure

By checking the consent box at signup and clicking "Sign Up", you acknowledge that you have read, understood, and agreed to both this Privacy Policy and our Terms and Conditions. You may withdraw consent at any time by contacting us at support@sync2.com, which will result in account deactivation and data deletion per our retention policy.

These messages include appointment confirmations, rescheduling notifications, cancellation notices, and service updates. Message frequency varies based on your activity. Types of SMS Messages We Send

  • Appointment Confirmations: Confirmations sent when an appointment is booked through our platform
  • Rescheduling Notifications: Alerts when an appointment is moved to a new date or time

  • Service Updates: Critical platform status updates and important account activity notices

Consent & Opt-In

We only send SMS messages to phone numbers where consent has been obtained. Consent may be given:

  • By providing your phone number and checking the consent checkbox during account registration at sync2.ai/signup
  • By explicitly opting in through your account settings
  • By patients who provide consent directly through your practice's communication flows powered by Sync2

Opt-Out

You may opt out of SMS communications at any time by:

  • Replying STOP to any SMS message you receive from us
  • Updating your notification preferences in your account settings
  • Contacting us directly at support@sync2.com

After opting out, you will receive one final confirmation SMS. You can re-subscribe at any time by replying START or by updating your account notification settings.

Message Rates & Frequency

Message frequency varies based on your account activity, platform events, and the communication workflows you configure. Msg & Data rates may apply depending on your mobile carrier and plan. Sync2 is not responsible for any charges incurred from your carrier in connection with SMS messages.

SMS Data & Privacy

Phone numbers collected for SMS communication are never sold or shared with third parties for marketing purposes. Third-Party Services

Our services may integrate with third-party platforms such as Instagram, Facebook, and other social media services. When you connect these accounts, their respective privacy policies also apply. We only access the data necessary to provide our services.

Google Calendar Integration

Sync2 offers an optional Google Calendar integration that lets your clinic keep appointments in sync between Sync2 and Google Calendar. When you choose to connect your Google account (via Settings → Integrations → Connect Google Calendar), Google presents a consent screen showing the app name "Sync2 Oauth" and the exact permissions being requested. The integration is entirely optional and only active if you explicitly connect it.

Google Permissions We Request

  • View and edit events on all your calendars (calendar.events) — used to create, update, and cancel calendar events that correspond to appointments booked in Sync2, including bookings made by our AI phone agent, so your Google Calendar stays current.
  • See and download calendars you can access (calendar.readonly) — used to read events created or edited directly in Google Calendar and import them back into Sync2, keeping both systems consistent (two-way sync).
  • See your primary Google Account email address — used only to display which Google account is connected on your Integrations settings page.

How We Use and Protect Google Data

  • We access only the connected clinic account's calendar, and solely to synchronize appointments.
  • Google calendar data is never sold, and never shared with third parties or used for advertising.
  • Access tokens are stored encrypted at rest and used only to perform the sync you enabled.
  • You can disconnect at any time from Settings → Integrations, which stops all syncing and removes the stored Google connection.

Sync2's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Your Rights

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion of your data
  • Opt-out of marketing communications
  • Disconnect third-party account integrations
